What is an Invoice?
An invoice is a bill or a commercial document issued by the seller to a buyer, which specifies the amount and cost of products or services that have been provided by the seller. It is an important business voucher for the taxpayers in commercial activities and may also contain specific payment terms.
What does a typical Invoice contains?
A typical invoice contains the following items:
– the word “Invoice”, unique invoice/reference number;
– name & contact details of seller, name & contact details of buyer;
– date of the invoice;
– an account detailing product/service rendered;
– total amount owed
– payment terms (optional)
An invoice with the above details can be considered as a commercial invoice. On the contrary, a bill to confirm the commitment to sell goods for a certain price and time is considered as a pro forma invoice. This type of invoice is not used for accounts receivable / accounts payable and does not replace commercial invoice.
What is an Invoice Number?
An Invoice number is a string of characters systematically assigned to an invoice. It is used to track and identify each payment, service, or product sold. Each invoice number needs to be unique in order to efficiently organize each payment. The number doesn’t have to be an exact length – as long as it makes sense to the company or individual issuing the invoice. Examples include: “A-0001, A-0002, etc.” or “5551, 5552, 5553, etc.,” or “ABCC, ABCD. ABCE, etc.”
Assigning structure to the invoicing process can provide invaluable to a business, such as adding a certain character for each month and year the invoice was issued or a code for the worker that sold the product. For example, the letter combo “DE-20” can refer to the invoice being billed on Dec 20th. To highlight what should go into an invoice number, keep in mind the points below.
- Assign a unique Invoice Number to each document
- Make the number sequential
- Avoid Special Characters (with the exception of dashes “-“)
- Create Character Combinations (“JC-21”) to track dates, types of products, service people, etc.
